Preparation Checklist for e-Invoice in AutoCount System

As a consultant supporting the implementation of Malaysia’s e-Invoice system for AutoCount, it’s crucial to ensure that your customers are well-prepared. Here’s a comprehensive checklist to guide them through the process for those already purchased and upgrade into Autocount Accounting 2.2 version:

  1. Enable the e-Invoice Module

    • Access Tools: Navigate to the “Tools” menu in AutoCount.

    • Select Options: Choose “Options” and then “General.”

    • Country & Tax: Click on “Country & Tax” and enable the e-Invoice module by checking the “Enable e-Invoice” box.”

    • Set Start Date: Enter the start date for e-Invoicing.

  2. Update Buyer/TIN Information

    • Tax Entity Maintenance:

      • Select MyInvois: Once logged in, select the “MyInvois” option from the menu.
      • Accept Terms: Read and accept the terms and conditions to proceed.

    • Debtor Maintenance:

      • Navigate to “A/R” and click on “Debtor Maintenance.”
      • Insert the Tax Entity/TIN based on the data entered in Tax Entity Maintenance.

  3. Update Data Classification Code

    • Ensure that all products and services are classified correctly according to the latest data classification codes.

  4. Update Unit Measurement Code

    • Verify that the unit measurement codes are up-to-date and accurately reflect the units used in transactions.

  5. Update Currency Code

    • Confirm that the currency codes are current and correctly applied to all transactions.

  6. Test the System

    • Generate Test Invoices: Create a few test invoices to ensure that the system is functioning correctly.

    • Submit Test Invoices: Submit these test invoices to the LHDN MyInvois system to verify that they are processed without errors.

  7. Train Staff

    • Conduct Training Sessions: Organize training sessions for staff to familiarize them with the new e-Invoice system.

    • Provide Documentation: Supply comprehensive documentation and guides to assist staff in navigating the system.

  8. Monitor and Review

    • Regular Audits: Perform regular audits to ensure compliance with LHDN regulations.

    • Feedback Loop: Establish a feedback loop to address any issues or improvements needed in the e-Invoicing process.
